Implementing our IFS Clipboard Solution to Transform Customer Order Processing

Techris Consulting worked with Jakob Rope Systems, a global manufacturing organisation, to enhance and extend the capabilities of our clipboard-based data entry tool within IFS Cloud. 

The customer initially approached Techris Consulting to resolve challenges with copying and pasting data into customer order lines, where standard IFS logic was overriding imported values and creating inefficiencies in their workflow. Previously, users were waiting at least five minutes for an interface job to complete, with no immediate visibility of any errors along the way. 

As part of a collaborative engagement, Techris Consulting worked closely with the client to understand their processes and co-develop a solution that went beyond the original scope of the tool. 

This resulted in the creation of a custom interface layer, transforming the tool from a simple browser-based utility into an enterprise-ready solution embedded within the client's operational workflow. 

The solution was designed to integrate directly with the client's existing systems, enabling Excel-based order data to be automatically detected and prepared for upload into IFS Cloud. This removed the need for manual file handling and reduced reliance on background migration jobs. 

Techris Consulting supported the full lifecycle of this solution, including requirements definition, development, testing, and integration, delivering a fully operational system in under two months. 

We also worked closely with the client to refine how IFS handles field-level logic during data import, ensuring that standard system behaviours did not conflict with business-critical data inputs.

The impact has been substantial. The client now uploads around 450 Excel files to IFS every ten days — roughly 45 per day across approximately 50 sales users — in place of the previous five-minute wait per interface job. Adoption spread organically too: users who didn't initially have access began actively requesting installation, with no internal marketing campaign required. 

So far, Techris Consulting has enabled this customer to: 

  • Replace time-intensive migration jobs with a streamlined, near real-time data entry process 

  • Reduce manual intervention by automating the detection and handling of Excel-based order data 

  • Improve reliability by removing failure points associated with background processing jobs 

  • Deliver significant cost savings by removing the need for bespoke interface programming, which is typically an expensive line item 

  • Extend the value of a standard tool into a tailored, business-specific solution 

  • Enable adoption across approximately 200 users within the organisation 

 

The flexibility has been particularly valuable from an IT perspective. New fields can be added by creating a custom field and reusing the same name in the Excel template, making it available in the next import immediately. Users can now also choose between Sales Quotation and Customer Order within a single process, where two separate processes were previously required. 

 

This pilot demonstrates how a lightweight tool can be evolved into a scalable, business-critical capability when aligned to real operational needs — to the point where the client now describes it as their central entry point to IFS. 

It also highlights the opportunity for organisations to go beyond out-of-the-box functionality and unlock additional value through targeted customisation and integration. 

While this solution was initially developed for a specific use case, the approach can be adapted to support a wide range of IFS Cloud processes where speed, accuracy, and efficiency of data handling are critical.
